The 5-Minute Morning Check: 10 Questions Every Real Estate Office Manager Should Answer

The best way to manage a real estate office is a short morning check: ten questions that tell you, in five minutes, which leads need a reply, which tenants haven't paid and what your team should do first.

Leads: is anyone waiting?

1. Which new leads haven't been contacted yet? Every hour a lead waits, it's more likely to call another office.
2. Who owns each new lead? A lead without an agent is a lead nobody answers.
3. Which viewings are scheduled for today and tomorrow? So nobody forgets to confirm.

Listings: what are we selling and renting?

4. Which properties are listed for sale, and which for rent? A quick look tells you where your pipeline is thin.
5. Is any listing missing photos, a price or key details? Incomplete listings get fewer calls.

Rentals: is the money coming in?

6. Whose rent is overdue this month? Call early, before it becomes two months.
7. Which leases end in the next 30 days? Renew or re-list in time, and avoid empty months.
8. Which repairs are open, and which are urgent? Tenants remember how fast you fixed things.

The team: what's slipping?

9. Which tasks are overdue, and whose are they?
10. What's due today? Agree on the day's three most important tasks.

How to answer them in five minutes
