When an Agent Leaves, Do Their Clients Leave Too?
November 5, 2026
When an agent leaves, what they take depends on where your office keeps its information. If leads and client details live in that agent's phone and WhatsApp, a large part of your pipeline can leave with them. If they live in a shared system, the agent leaves and the information stays.
What usually walks out the door
Nobody has to do anything wrong for this to happen. It's just how offices work without a shared system:
- Client phone numbers saved only in the agent's phone.
- Conversations in their personal WhatsApp: what the client wants, what was offered, what was promised.
- Open leads nobody else knew about.
- Follow-ups that were only in their head.
The office usually finds out weeks later, when a client calls and asks why nobody got back to them. Or doesn't call at all.
Keep it with the office from day one
You can't fix this on the day an agent resigns. It has to be how the office works every day:
- Every lead goes on the shared board, with its stage and notes, from the first call.
- Every client goes in the company's contact book, not only in a phone.
- Notes go on the lead. After a call, one line: what they want and what's next.
- Follow-ups are tasks, with a name and a date, not something to remember.
- The manager can see the board. If each agent's leads are visible only to that agent, nobody can pick them up later.
The day an agent leaves
Have a short routine ready:
- Before removing them, go through their open leads together, if you can, and make sure the notes are up to date.
- List what needs a call this week, starting with the leads closest to a deal.
- Give each follow-up to someone by name, as a task with a date.
- Remove their access the day they leave.
- Tell the clients who are mid-process who will be taking care of them. A short call now beats an awkward one later.
How it works in Estatemar
In Estatemar's AI Real Estate CRM, leads, contacts, properties and rentals belong to the company's account. When you remove a team member, they lose access and the information stays with you.
If you use the Agent + Admins visibility setting, each agent sees their own leads and your managers see everything, so a manager can open a departing agent's leads and assign tasks to whoever follows up. Then ask Estatemar AI "Which leads haven't been contacted yet?" to check that nothing was missed.
